Are you a detail-oriented and organized individual with a knack for communication and leadership? Hyatt Regency Lost Pines is seeking an enthusiastic Engineering Administrative Assistant to join our team! In this role, you'll be the backbone of our engineering department, ensuring smooth operations and providing top-notch support to our team and guests.

Key Responsibilities:

• Interact and cooperate with resort guests, outside contractors, Department Managers, and other resort associates, creating a welcoming and engaging atmosphere.
• Collaborate with all departments, logging work and managing Hotel Expert alongside the Engineering Management team.
• Ensure requests are allocated to the correct trades and jobs are cleared on the system efficiently.
• Work with purchasing and service suppliers to obtain quotations, manage delivery dates, handle invoices, and resolve queries. Record and update files and verify invoices against deliveries before approval.
• Assist the Engineering Management team with correspondence and reports as needed.
• Update utility consumption and other spreadsheets, keeping accurate and up-to-date records.
• Issue identity badges to contractors and visitors, maintaining a record of their issuance and return/signing out.
• Maintain records and files in an organized and efficient manner.
• Manage the training calendar and prioritize staff training accordingly.
• Assist with various Health and Safety reports, ensuring compliance and safety standards are met.
• Support the finance team with monthly closing tasks
• Other tasks as needed

Requirements

• Excellent communication, leadership, time management, and organizational skills.
• Proficiency in Microsoft Office, including Word, Excel, and PowerPoint.
• Strong interpersonal skills and a welcoming, engaging personality.
• Ability to work independently and as part of a team.
• Comfortable with public speaking and interacting with diverse groups.
• Experience in customer service is preferred.
