    ESSENTIAL SKILLS

    ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

    1. Screens, evaluates and routes incoming phone calls. Answers the phones of the conference services and sales staff in their absence.

    2. Serve as the first point of contact for any walk ins to the sales office

    3. Entering of Rooming lists and making reservation changes for sales team or clients

    4. Knowledge of each conference services manager’s group and respond to customer inquiries appropriately. Take accurate messages in their absence.

    5. Update Pick up in Delphi on a monthly basis

    6. Coordination of the executive board room meetings

    7. Manage the Wholesale Tour groups and the weekly bus schedule

    8. Responsible for typing and processing of BEO’s and resumes, typing internal and external correspondence and distribute such paperwork to hotel departments and hotel guests as needed.

    9. Prepare VIP and other amenity requests.

    10. Responsible for copying, filing and any other clerical duties.

    11. Responsible for managing changes to resumes and BEO’s and communicating changes throughout the hotel

    12. Generate daily change log

    13. Ensure work area cleanliness is maintained at all times.

    14. Maintain efficiency in the operation of the staff in a high standard of quality of service and courtesy, bringing total satisfaction to our guests and the hotel.

    15. Maintain a complete and accurate set of logs.

    16. Be a Team Player and encourage the teamwork attitude among staff.

    17. Ensure all guests who experience a problem receive an appropriate response, any promised compensation is delivered, and an appropriate follow up in a timely and professional manner.

    18. Promote open channels of communication between all hotel departments.

    19. Attends department meetings and as needed, attends interdepartmental meetings.

    20. Be familiar with the operating procedures of all other areas of the hotel, cooperating fully and in a friendly manner with those areas to assure customer satisfaction.

    21. Route associate commendations received from guests to the person responsible for assembling the daily packet.

    22. Notify management of any pertinent information related to shift activities or assist with transportation needs of groups.

    23. Determine the requirements for and the follow up on special groups, VIPs, etc.,

    24. Follow supervisor’s instructions and completes other duties as directed or assigned.
