Job Description

The Complex Sales Research Coordinator supports multiple properties. In this role, you will assist the Sales & Catering and Revenue Management teams with managing and maintaining the Delphi.fdc (FDC) database system on the property level, managing Definite bookings, End of Month reporting, lead catching, and user Salesforce training.

Location: Omni Hotels & Resorts Corporate Office (Dallas, TX)

Schedule: Monday-Friday in office - Eligible for 1 day WFH per week after 90 days of employment

Responsibilities

DATABASE MANAGEMENT

  • The CSRC will maintain all data standards as outlined in the HDI Grassroots Reporting for their designated hotels as well as SOP Booking Status Changes in FDC.
  • The CSRC will maintain all property-level merge contracts and other merge documents for their designated hotels.
  • The CSRC will assist their designated hotels with Booking Ownership management as staff changes occur.
  • The CSRC will assist their designated hotels with property-level reporting needs for FDC.
  • The CSRC will assist their designated hotels with FDC property administration needs such as: building or retiring Guestrooms or Function rooms, building new Event Classifications, etc.

BOOKING MANAGEMENT

  • The CSRC will ensure accurate pickup on Definite, actualized business as outlined in the SOP Pickup Entry in FDC and SOP Opera-FDC Integration.
  • The CSRC may assist the DOSM as needed with Turnover and Routing for new definite business as outlined in the SOP Definite Routing Checklist & Turnover
  • The CSRC may assist the DOSM as needed with edits to definite room blocks as outlined in SOP Changes to Definite Bookings (Group & Catering).
  • The CSRC will ensure Daily Transaction reporting (DTR) is in place for each assigned property. CSRC will ensure correct users receive the web report subscription and that the DTR is being reviewed on a weekly (or daily) basis to ensure data is accurate and sales processes outlined in our SOPs are being followed.

END OF MONTH (EOM) REPORTING

  • The CSRC will monitor Sales & Catering production throughout the month using EOM reports, working with the DOSM on sales related items and Sales Automation on system related items.
  • After the close of each month, the CSRC will manage monthly EOM reporting and EOM Exception entry for their designated hotels as outlined in the HDI EOM Production & Reporting and HDI EOM Exception Web Form.
  • The CSRC will assist property leadership with goal entry annually. The CSRC will assist property leadership with processing new user Goal Change Forms and new user goal setup as needed.

NEW USER SETUP & TRAINING

  • The CSRC will assist the property with New FDC User Requests as well as FDC User updates for transfers or setup changes.
  • CSRC will ensure the property’s designated lead catcher is setup as the Default Lead Coordinator in FDC and is aware of the Omni standards for all Inquiries including Cvent.
  • The CSRC will ensure all new users are routed to the appropriate Help & Training e-learning.
  • The CSRC will ensure all new users know how to access the System Usage Standards, SOPs, HDIs, and other training materials available for FDC.
  • The CSRC will assist their designated hotels upon request for additional training needs.

OTHER FDC RESPONSIBILTIES

  • All CSRCs will attend the Omni Hotels & Resorts’ Quarterly FDC Admins & Coordinators call, promoting ongoing communication among the group and sharing skills, ideas and solutions company-wide.
  • All CSRCs will participate in one or more Focus Team, led by the Senior Manager of Sales Automation. Focus teams specialize in specific areas allowing for ongoing CSRC development in areas such as: F&B and BEOs, FDC Reporting, User Training, System Usage Standards, Merge Docs, etc.
  • CSRCs will work closely with Sales Automation to implement company-wide projects and procedures.
  • CSRCs will assist users with FDC errors and troubleshooting, working with Sales Automation and Amadeus Support as needed. CSRCs are expected to foster ongoing communication and good relationships with vendor technicians and corporate office IT staff to ensure the most efficient and effective database support.

Qualifications

  • Knowledge of hotel structure and how departments interact.
  • Proficient in Microsoft Excel, Microsoft Word, Microsoft PowerPoint, Microsoft Outlook.
  • Knowledge of Delphi.fdc and/or Salesforce.
  • Knowledge of Opera, Hotel Property Management System.
  • Knowledge of Omni Hotels & Resorts sales & catering policies and procedures.
  • Must be able to analyze data and communicate effectively with peers and superiors.
