The FireLake Event & Catering Coordinator plays an essential role in the success of the FireLake Grill House and Cocktail Bar as well as the Sales and Catering team by providing exceptional service and support to clients, ensuring successful event execution, and managing administrative tasks related to sales and catering operations.

FireLake Grill House and Cocktail Bar features regional, local and sustainable foods kissed with the flavor of real burning wood, utilizing the grill, rotisserie and smoker.  Impeccable hospitality and service. 175 seat restaurant, 125 seat lounge. Our lounge features local brews, selective wine list and modern cocktail program.

Hourly Wage:$19.00 - $23.00

Client and Guest Services

• Politely and professionally answer calls and greet clients.

• Host property tours to familiarize guests and potential clients with the property’s features, products, and services.

• Maintain positive relationships with all hotel departments to ensure seamless communication and service delivery.

Event Coordination

• Prospect, Quote, Contract and Coordinate all Private Dining Rooms events in FireLake.

• Oversee the BEO Master Book, including updates for guaranteed guest numbers and event document revisions.

• Coordinate and finalize all in-house events, ensuring accurate and timely preparation of Banquet Event Orders (BEOs) and Restaurant Event Orders (REOs).

• Lead BEO meetings for the Catering Department and oversee the BEO master book, including updates for guaranteed guest numbers.

• Collect guarantee numbers from upcoming groups and input updates in the event management system.

• Organize pre-convention meetings, including department invitations, client binders, and meeting room reservations.

Administrative Support

• Input and manage client information, bookings, contracts, and reports in the Sales and Catering systems.

• Maintain organized filing systems for storing documents related to sales and catering.

• Create and distribute reports, including daily pickup reports, attrition and cancellation reports, and event summaries.

• Assign inquiries to the appropriate sales or catering managers based on the source and client needs.

Contracts and Proposals

• Draft and send professional proposals for events in FireLake Private dining room.

• Create, negotiate, and finalize contracts with clients for FireLake events.

• Scan, duplicate, and archive confirmed contracts, ensuring accessibility for relevant departments.

Inventory Management

• Create and maintain inventory for Sales Kits, Gift Bags, and event-related materials.

• Manage updates to online catering menus and event pricing.

Create 100% guest satisfaction by providing the Radisson Blu experience through performance that demonstrates the standards of, genuine hospitality and exceeding guest expectations

• Gives personal attention, takes personal responsibility and uses teamwork when providing guest service

• Listens, apologizes with empathy, finds a solution and follows through when resolving guest problems

• Provides Yes I Can! genuine hospitality and teamwork on an ongoing basis

• Assumes the responsibility to notice when the guest is not satisfied and uses their best judgment as to when it is appropriate to use the 100% Guest Satisfaction

• Performs other duties required to provide the service brand behavior and genuine hospitality

• Minimum of one year of sales experience or equivalent education.

• High School Diploma required; bachelor’s degree preferred.

• Strong organizational, time management, and communication skills.

• Proactive and goal-oriented with excellent attention to detail.

• Proficiency with event management systems and Microsoft Office Suite.

• Ability to sit, stand, or walk for extended periods.

• Manual dexterity for the use of common office equipment.

Other Information

The hotel business functions seven days a week, 24 hours a day.  All associates must realize this fact and be aware that at all times it may be necessary to move associates from their accustomed shift and alter assigned duties as business dictates.  In addition, this is a hospitality business, and a hospitable service atmosphere must be maintained at all times.
