To handle all Administrative duties as required by the Catering/Conference Services Department.

• Arranges appointments for Director of Catering and Conference Services
• Answers incoming telephone calls - all telephone lines. Takes NO Messages and ensures that all inquiry calls are delivered to a manager.
• Responds to telephone inquiries by determining client's needs and specifications for referral to Catering and Conference Services managers
• Processes all departmental incoming correspondence
• Ensures that all filing systems are maintained according to department specifications (Catering and Conference Services Managers)
• Maintains inventory of Omni SOP office supplies at all times
• Responsible for producing all hotel parking and restaurant vouchers and amenities.
• Is a part of the executive office administrative team for mail distribution
• Special projects as assigned by the Director of Sales and Marketing/Director of Catering and Conference Services
• This position requires that, on occasion, the assistant is flexible with his/her hours/days
• Although it may not be common, it may become necessary to work on a weekend
• Maintains Banquet event order binder and is responsible for weekly distribution and daily change log
• Prepares and distributes Daily Door Signs and Reader Boards

• Prior experience in a fast-paced sales setting preferred
• Prior hospitality experience preferred
• Must have prior experience working with high volumes of calls
• Must be able to work a flexible schedule including day, evening, weekends and holidays
