Summary

The primary responsibilities for the Housekeeping Office Administrator is the daily coordination of the Housekeeping operations. The Housekeeping Administrator is responsible for ensuring that the department achieves the highest level of service delivery through effective communication and follow up. The Housekeeping Administrator serves as the liaison between the Housekeeping department, Guest Services, Maintenance, Golf, and Food and Beverage departments.

Essential Duties And Responsibilities
  • Maintain complete knowledge of all Housekeeping services, outlets, Hotel areas / features and hours of operation.
  • Answer all incoming calls for the Housekeeping department and ensure all messages, information and requests are logged, communicated promptly and accurately to provide excellent service to members & guests.
  • Process requests through ALICE/Radio/Email and delegate work assignments to employees in a timely manner.
  • Create the Daily Housekeeping Boards and proactively follow up with Housekeepers/Supervisors/Managers to maintain the most accurate room statuses within the SMS operating system.
  • Take a lead role in the coordination of all Housekeeping employees and activities including office opening and closing, daily room assignments, public area requests, internal service assignments, and any additional tasks requested by the Housekeeping Managers.
  • Record, monitor, and update list of rooms and units that requested a Daily Service or Midweek Cleaning and input Traces within SMS.
  • Complete all the daily Housekeeping paperwork and ensure all tickets are closed by the end of your shift within the ALICE operating system.
  • Responsible for communicating all operational concerns to the leadership team and proactively addressing any day-to-day operational concerns.
  • Log all Lost & Found Items that come into the department and store them in a secure area.
  • Maintain a monthly inventory on all operational supplies.
  • Order supplies as needed for the daily operation and coordinate with Managers to ensure all ordering needs are met.
  • Create, submit and track Purchase Orders within Concur.
Qualifications

Required

  • To perform this job successfully, an individual must be able to perform each duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.
  • High school diploma or GED
  • A minimum of 2 years of experience in the hospitality industry
  • Able to pass a drug test.
  • Minimum of two years of prior supervisor experience in Customer Service
  • Must be able to pass First Aid/CPR and AED certification.
  • Must have a current Oregon Driver’s License, or be able to obtain an Oregon Driver’s within 30 days of employment

Desirable

  • A college education in the hospitality field or a combination of education and previous hospitality experience.

SKILLS

Required

  • Must be able to read and understand written and oral instruction in English.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to interpret a variety of job related instruction manuals.
