The Director of Membership serves as the Ambassador for the Club and ensures that all members and guests receive the highest level of service during his or her time at the Club. This position requires the ability to interact with members, guests, and fellow team members in a very positive, confident, and friendly manner. The Membership Director will assist the staff in organizing and implementing all member events.

Day To Day Activities

Be the Club “Ambassador” to welcome members, prospects, and guests to the Club and community. Candidate should possess outstanding human relations skills, polished and professional image as well as creative communication skills, initiative, integrity, and resourcefulness. This candidate must also enjoy working with both Staff and Club members.

This position requires excellent organizational and time management skills, along with the ability to coordinate details and prioritize work on a daily and weekly basis. An excellent memory for names and faces is essential. While this position reports directly to the General Manager, the individual also works in conjunction with the Membership and Marketing Committee.

Specific Duties And Responsibilities

Membership, Marketing, Member Communications, and Website.

Membership
  • Effectively and promptly respond to Club Members, prospective members, and realtors with inquiries regarding Club Membership, Club Dues, Rules & Regulations per club standards. Follow up on all membership leads – including emails, phone calls, and drop-ins at the Gatehouse (when available).
  • Greet and tour all Discovery Day rounds of golf and explain membership options or answer any questions they may have.
  • Coordinate with the Golf Shop & outside service staff to meet reciprocal rounds of golf before and or after their round and explain membership options.
  • Give tours of the Club as requested to all prospective resident members, non-resident members, and agents.
  • Maintain detailed information/notes about all potential members/leads. (Name, contact info, specific interests, where they are from, etc.)
  • Coordinate the membership process, including the provision and prompt follow-up on all prospective and new member communications. There is no application process for resident memberships. If they are going to potentially build, make sure they get a copy of our RDS. If they are going to buy – give them some real estate agent contacts with no particular recommendations, CCRs, etc.
  • Non-resident members require a different process through sales efforts, including screening and interviews for Membership approval.
  • Perform New Member Orientations/On-Boarding, either individual or in a group, including a review of the Club rules and regulations and communicating any changes to the membership of the rules and regulations.
  • Coordinate and host new and prospective member mixers, appreciation nights, and membership-related open houses.
  • Supervision and management of member tracking systems, mainly on our website. Also, maintain confidential computerized membership files on an ongoing basis (Sr. Accountant and Admin Assistant currently handle all Resident Membership paperwork & closings.)
  • Introduce potential members to club members with similar interests, background, business experience and mutual Invite potential members to come to events and mingle such as Member Happy Hour and or Holiday events.
  • Work closely with the accounting department to ensure all paperwork is completed for new and resigning members.
  • Do the following for each new member that joins the club;

1) Verify the login credentials automated for their members-only account are correct.

2) Create and account/login credentials for each new member in ForeTees.

3) Send a welcome email with the new member packet and all login credentials. Then follow up with a phone call.

  • Communicate pertinent updates/changes from online member profiles to the Accounting/Admin Assistant and Sr. Accountant.
  • Membership Retention. Assesses the need for and makes recommendations regarding retention and recruitment.
Marketing
  • Develop appropriate collateral material to showcase the Club. Design marketing ads for the following (if design is not included for an ad); Online marketing (Landing Pages, Website). Print Marketing (Potential member packet/handouts, banners, wedding ads.)
  • Assist in the creation and implementation of the annual marketing/advertising plan. (Both Digital and print.) Also work with Food & Beverage Manager regarding wedding marketing/advertising.
  • Work very closely with realtors, real estate agencies, and/or builders to introduce qualified, potential buyers to the club.
  • Coordinate and host community wide open houses for current resales on the market in Flagstaff Ranch.
  • Owns and leads the Social Media of the Club.
  • Networks with community partners including, but not limited to: Chamber of Commerce, local tourism councils, Chamber of Commerce, Social and Civic Organizations, Realtors.
  • Coordinate with photographers/videographers while developing marketing pieces including commercials or photoshoots. Write scripts, checklists, and timelines if necessary. Also communicate with staff if marketing pieces have specific scheduling that other departments need to know about.
  • Promotes Club activities and events. Assists in development of member functions

Marketing/Membership
Develop and lead a strategic membership development program designed to increase membership count and dues revenues.

  • Constantly maintain up to date information for the following.

1a) PDF version of the potential member packet - membership and community information including dues data.

1b) Print copies of the potential member packet for Admin/the Gatehouse.

2a) PDF version of the new member welcome packet.

2b) Print version of the new member welcome packet as needed.

  • Create a brief monthly report for Membership and Marketing Committee regarding Membership and Marketing data. (CRM Stats and current ad performance, # of new members, Discovery Day rounds etc.)
  • Conducts annual country club survey on membership dues, equity, practices and fees.
  • Conduct a survey for new members who have joined to gather information on why they chose to buy; to better help with recruitment of members going forward.
  • Work with the entire membership to identify prospective members and promote referrals of their friends and business associates to the Club and community by promoting and administering our Discovery Day.
Member Communications
  • Draft Member and Prospective Member correspondence. Weekly and Monthly newsletters.
  • Assist in the creation of the monthly newsletter.
  • Create and send weekly email updates. Coordinate with the Food & Beverage Manager and General Manager on any changes/additions or pertinent announcements for the membership for the week.
Website/Member Communications
  • Maintain the Club’s website.
  • Create member calendar events for our members-only section. This is for registration for F&B events for members, or to inform members about events (like a 5K). Coordinate with the Food & Beverage manager (or other department heads) to make sure the details for each event are correct.
  • Communicate with Club essentials personnel in various capacities including the following; 1) IT for website bug fixes or member account issues on website 2) Front and back end developers for our website, SEO, and landing pages 3) Reps for products and services like mobile POS.
General
  • Be a team player with the entire Flagstaff Ranch Staff. It takes all of the employees at the Club to create the wonderful, personalized service given to each member and to maintain the quality of the facilities that all members deserve and expect.
  • Maintain a positive attitude and be willing to assist the membership and the staff to provide the members with the highest quality of service. Perform any other related tasks as requested by the General Manager.
  • Co-chairs Membership Committee and other related club committees to ensure members’ interests are consistently addressed, along with the Board Assigned Committee Chair.
  • Is present during club operating hours and events to assist in meeting and greeting members and guests.
  • Completes other appropriate assignments as instructed by the General Manager
