Director of Events and Catering for Reynolds Lake Oconee

Position Overview:

Oversee events and catering department staff to include; receiving inquiries for various events including annual member events, golf tournament functions, meetings, social events, internal meetings, and employee functions. Close member communication to determine, up-sell, define, and communicate meeting and function information. Establish systems, policies, and procedures to enhance the efficiency and communication of all meetings, events, and other functions for members. Enhance revenue and profitability through creative sales and coordination. 

Department Duties:

Coordinate details for events/groups, which include food & beverage, audio- visual, set-up and meeting space requirements.

Have full ownership and management of The Club event calendar.

Maintain reservation software to ensure proper allocation and maximize space utilization.

Coordinate with various outside contractors’ requirements such as; entertainment, tent and set-up, florists, fireworks, and specialty printing.

Generate and communicate banquet event orders to operations departments. Clarify the delineation of responsibilities accordingly.

Generate and distribute six-week forecast sheets to all departments.

Ensure that guarantees are provided for all events.

Provide all departments with updates for any changes to functions.

Proactively follow-up with contacts for upcoming functions.

Collaborate with the culinary department to create menus for events, with emphasis on variety and maximizing revenue.

Work with the restaurant and banquet managers to ensure event set-up and service meets Reynolds Lake Oconee standards of excellence.

Be present at various social and member events as a contact point.

Attend BEO meetings and Event Committee meetings.

Deliver exceptional service to all members and guests. 

            Director is Responsible for:

Hire, train and develop staff to achieve established standards.

Work closely with all department managers to create excellent communication and understanding of event execution, requirements, and intradepartmental coordination.

Provides marketing with content for monthly member newsletters and calendars.

Update menus, themes, and décor to creatively provide continued variety and interest.

Work with the member event committee to continually enhance the menu décor, theme, and value for all member functions.

Work with the Marketing department to reserve space proactively for sales guest’s events.

Create yearly member calendar by working with various departments. 

QUALIFICATIONS/REQUIREMENTS/EXPERIENCE/EDUCATION:

Four-year college degree preferred.

Minimum 3 years experience in catering or hospitality management.

Experience and knowledge of menu and event planning.

Strong organizational skills; very detail oriented.

Strong communication skills both verbal and written.

Golf knowledge preferred.

Computer proficiency in Microsoft Word and Excel.
